Business Challenge

Solstice Events Co. is a boutique event-planning studio with a genuinely stunning Instagram portfolio and strong word-of-mouth referrals from past clients — weddings, corporate functions, and private celebrations that photographed beautifully and travelled well on social media. The problem was that none of that visual credibility lived anywhere the studio actually controlled. The website was little more than a single-page "coming soon" placeholder: no organized portfolio gallery to browse by event type, no starting-price guidance to help a couple or a company self-qualify before reaching out, and no inquiry form at all. Anyone who discovered the studio through Instagram and wanted to move forward had exactly one option — send an unstructured direct message and hope for a timely reply.

That gap became especially costly during busy planning seasons, when a flood of DMs across multiple platforms was easy to lose track of, easy to answer too slowly, and impossible to prioritize by how serious or well-matched a lead actually was. On top of that, the studio had no local search presence whatsoever — someone typing "wedding planner near me" or searching for corporate event planners in their area had no way to find Solstice Events Co. through Google at all, leaving the business entirely dependent on people who already followed the account. There was also no mechanism for promoting seasonal availability windows — peak wedding-season openings, last-minute corporate slots — to anyone outside that existing follower base, so demand and capacity were rarely in sync.

Strategy

The engagement was sequenced so the studio had somewhere real to send its existing audience before any paid spend was introduced to widen that audience further:

Phase 1 — Weeks 1–4

Website & booking funnel

Built a full portfolio site with past-event galleries organized by event type, transparent starting-price guidance, and a structured inquiry form routed straight to WhatsApp.

Phase 2 — Weeks 4–8

Local SEO

Optimized the Google Business Profile for "wedding planner near me"-type searches and built on-page SEO for dedicated event-type landing pages.

Phase 3 — Weeks 8–12

Paid amplification

Launched Meta/Instagram lead ads promoting seasonal availability windows, with retargeting for website visitors who didn't submit an inquiry.

Execution

Website & Booking Funnel

The new site organized the studio's existing portfolio into galleries by event type — weddings, corporate functions, private celebrations — so a prospective client could quickly find work relevant to their own event instead of scrolling an undifferentiated feed. Transparent starting-price guidance was added for each event type to filter out mismatched budget conversations before they started, and the old "message us on Instagram" default was replaced with a structured inquiry form that captured event type, date, and guest count upfront and routed the submission straight to WhatsApp, so nothing arrived as an easy-to-miss DM buried in a separate inbox.

Local SEO

The Google Business Profile was fully optimized — categories, service areas, event photography, and regularly updated posts — to compete for "wedding planner near me" and comparable corporate-event searches, alongside dedicated landing pages for each event type built around the specific terms people actually search when planning that kind of event.

Paid Ads

Meta and Instagram lead ads were built around specific seasonal availability windows rather than generic brand awareness, giving the existing engaged audience and new prospects a clear, time-bound reason to inquire now. A retargeting layer was added for anyone who visited the site but didn't submit an inquiry, keeping the studio visible through the length of a typical event-planning decision cycle.

★★★★★

We always had the audience — our Instagram brought people in every single day. What we didn't have was anywhere for them to actually land. Now every inquiry goes somewhere real instead of getting lost in our DMs, and we can finally see our whole calendar filling up instead of guessing.
